What was going on

CSS Farms is a high-volume agricultural operator running AP through NetSuite and Stampli. As they scaled, they needed month-end controls that did not depend on someone noticing a bill in a closed period. Kyle Stohs, who leads financial planning and accounting, needed posting to stop at the lock, original transaction dates to stay put for reconciliation, and Stampli-originated bills to move through NetSuite Advanced Approvals predictably.

The challenge

  • Vendor bills from Stampli could still post into locked AP periods
  • Manual checks were the only backstop at month-end
  • Original transaction dates had to be preserved when the posting period moved
  • Stampli bills and NetSuite Advanced Approvals were not aligned

Result

Locked-period enforcement, automatic reassignment to the first open period, and Advanced Approvals that Stampli bills actually follow.
